When you add a new employee to Retain, they get a welcome message from retain@pinnacleqi.com inviting them to confirm their profile. Follow these practices so that message — and the cards you hand out — reach the right people and drive participation.
Help Retain Messages Get Through
Ask employees to add retain@pinnacleqi.com to their Safe Sender or Approved Contacts list. This keeps the welcome email out of spam.
Text messages work a little differently. The welcome text comes from a random 888 number, and it won't always be the same one. Once an employee verifies their cell number, their texts always come from 77369.
When to Use a Profile Access Card
The welcome message is the automatic first invite. A profile access card is a backup you hand out yourself. Both open the same place — the employee's profile, where they confirm their info and take any open surveys.
Cards are useful whenever the welcome message doesn't land: a missing or wrong email or cell number, a message caught in spam, or an employee who'd simply rather get a card in person. Keep Cards Personal and Confidential
Each card is personal and confidential. Share it directly with the employee it belongs to. Don't send cards through group emails or messages where multiple people are copied.
Make It Worth Confirming
A small personal touch gets more employees to confirm their profiles. For example:
"Your feedback matters! Stop by my office to pick up your Profile Card — and grab some Halloween candy while you're at it!"
A touch like this shows employees their feedback is valued and that leadership wants to hear from them.
