User Roles Defined

Learn what each user role can see and do in Retain.

Every Retain user is given a role, and that role controls what they can access — employees, surveys, reports, and settings.

A role is chosen when a user is invited, and can be changed later.


Here's what each role includes:

  • Administrator — Full access to everything in Retain, including Settings. Administrators can edit the organization's profile, set engagement survey dates, and manage users.
  • Corporate User — Can view all employees, surveys, and reports across the whole organization. No access to Settings.
  • Division Manager — Can view employees, surveys, and reports for their assigned division, which can include more than one location. No access to Settings.
  • Location Manager — Can view employees, surveys, and reports for their assigned location, and can be assigned more than one location. No access to Settings.
  • Department Manager — Can view employees, surveys, and reports for their assigned department (or departments) within a location. No access to Settings.
  • User Manager — Can only reach the Users page under Settings, to manage user accounts. Doesn't see employees, surveys, or reports.
  • Employee Importer — Can only reach the employee import page, to upload employee data. Doesn't see employees, surveys, or reports.

Keep in Mind

Your organization may also have custom roles set up with a different mix of access. If you're not sure what a role can do, ask your Retain Administrator.
